In fall of 2009, Daily Data will be upgrading their email server from the existing server to a new one in order to improve performance for clients and server resources.

Why We're Upgrading

Daily Data's primary mailserver has been running for approximately 5 years, and is projected to last as much as another 3. Although it has been very reliable to date, it is somewhat slower than other servers, and older machines are more likely to have a critical hardware issue. For this reason, we are moving our email service to a newer, more robust server and upgrading to a more user-friendly back end that will make it significantly simpler for users to administer their own accounts, including making password changes. The new back end also provides significantly more protection from spam and malicious email.

Upgrade process

Emails will be upgraded in several groups (by domain name). You will be contacted by email about 10 days before your domain is scheduled to be moved. (And you'll receive the link to this page in your email.) The actual change itself (when the email account is deactivated on the old server and activated solely on the new server) will take place on Friday night to make sure that the DNS has propagated and all email coming in will come solely to the new server by the time you return to work on Monday.

Once we've confirmed that this is a good time to move your domain, we will reset your password to a temporary password. During the week before the change, we will sync the old and new servers to make sure that all of your existing email (and folders) will be copied to the new server. On Friday night, we will flip the switch, and the transfer will complete over the weekend.

On the following Monday, you will need to change your email settings as detailed below.


Server Changeover Notes

Webmail

If you currently check your email by going to http://client.dailydata.net [1], you will need to point your browser TEMPORARILY to http://webmail.dailydata.net/squirrelmail/[2]. The "Squirrel Mail" link on Client.Dailydata.net will be changed as soon as the server migration is complete.

e-mail Reader on your computer

In order to change the settings of your standalone email clients (Thunderbird, Outlook, etc...), you will need to edit the properties of your existing mail account.

Changing Your Password

During the process of upgrading our mail server and moving email accounts to the new server, your password has been reset to a temporary password. In order to change this back to a password of your choice, go to http://webmail.dailydata.net/index.html and click on Postfix Administration (Users). Here, you can log into your email account with the password you were given and change the password, set up auto-responders, and other administrative tasks.

Quick Reference for Advanced Users

  • Username: username@yourdomain.com
  • Incoming mail server: mail.yourdomain.com
  • Outgoing mail server: smtp.yourdomain.com
  • Webmail: http://webmail.dailydata.net, select SquirrelMail

WhiteListing *** Important ***

The new server has much more powerful anti-spam protection than the current server. In order to prevent any emails from your contacts from accidentally being directed into the spam filter, you need to add them to your white list. Addresses which have been WhiteListed are processed much more leniently by the spam filter; it assumes they are not spam to start with.

To add one or more e-mail addresses to the whitelist, send an email to addtowhitelist@yourdomain.com with the email addresses you wish to add to the white list in the body. In Thunderbird, you can do this by opening your address book, highlighting all entries, and clicking and dragging them into the body of a blank email.
